Privacy Policy

This policy explains what Crew Scheduler LLC ("we," "us") collects when you use Crew Scheduler ("the Service") or visit this site, and what we do with it. The short version: we collect what's needed to run a scheduling product, we don't sell it, and phone numbers are used for operational messages only.
1. What we collect
- Account information — name, email address, company name, and login credentials for people who sign in.
- Workforce and job data — the schedules, jobs, crew member names, phone numbers, and related details an employer enters to run their operation. We process this on the employer's behalf.
- Contact form details — if you fill out the demo form: your name and, optionally, company, phone, email, crew size, and number of project managers. Used only to follow up about Crew Scheduler.
- Technical data — standard server logs (IP address, request time, pages requested) used for security and to keep the Service running.
- SMS consent records — see section 2.
2. Phone numbers and text messaging
Phone numbers are collected for the purpose of sending operational SMS notifications — schedule notifications, on-demand schedule replies, and material-ordering communications — to people who have opted in through the individual web-based consent form, where each recipient confirms their phone number and agrees to receive messages before any are sent.
- To document that opt-in, we store a consent record: the phone number, the timestamp of consent, and the IP address the consent was given from. Consent records are retained as the legal record of the opt-in, including after an opt-out.
- Phone numbers are not shared with third parties for marketing purposes. No mobile information, text-messaging originator opt-in data, or consent information is shared with any third party or affiliate for their marketing or promotional purposes.
- Numbers are shared only with the messaging carrier and delivery provider strictly as required to deliver the messages themselves.
- Recipients can opt out at any time by replying STOP to any message, and can get help by replying HELP or contacting admin@crewscheduler.net.
3. How we use information
To operate the Service: showing schedules to the right people, sending the notifications described above, providing support, processing payments, and keeping the Service secure. We do not sell your information, and we do not use workforce data for advertising.
4. Sharing
We share information only with service providers needed to run the Service — hosting, message delivery, and payment processing — and only to the extent needed for them to do their job; or when required by law. Crew member data entered by an employer is visible to that employer's authorized users, as controlled by the employer.
5. Workers and employers
If your employer uses Crew Scheduler, your name, phone number, and schedule are entered and controlled by your employer. Questions about that data should go first to your employer; you can also contact us at the address below, and you can stop receiving texts at any time by replying STOP.
6. Data security and retention
We take reasonable measures to protect the information you share with us, including encrypted connections and routine backups. No method of transmission or storage is perfectly secure, so we can't promise absolute security. Account data is kept while the account is active and deleted or anonymized after closure, except records we're required to keep (such as SMS consent records and billing records).
7. The product demo
The public demo runs on isolated sample data. It is not connected to any real customer's account, and anything you do in the demo is discarded when your session ends.
8. Changes
We may update this policy from time to time and will post the updated version here with a new "last updated" date.
